Privacy Policy

Last updated: October 2026

The Carpet Company, Inc. (“Company,” “we,” “us,” or “our”) respects customer privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, request an estimate, purchase flooring products, arrange installation, communicate with us, receive service-related messages, or make a payment.

1. Scope and Contact Information

This Policy applies to information handled by the Company in connection with its flooring products and services. It does not replace a separate notice provided by a third-party payment processor or other independent service provider when you use that provider’s own platform.

Privacy questions or requests: The Carpet Company, Inc., 119 Juliad Ct., Suite 101, Fredericksburg, VA 22406; phone 540-752-5200; email thecarpetcoinc@gmail.com; website https://thecarpetcoinc.com/.

2. Information We Collect

Depending on the services you request and how you interact with us, we may collect the following categories of information:

  • Contact and account information, such as your name, telephone number, email address, billing address, installation address, and communication preferences.
  • Project and service information, such as estimates, measurements, room dimensions, flooring selections, materials, installation details, site conditions, scheduling information, service records, warranty matters, and written agreements.
  • Photographs or other materials you provide, or that are collected with your permission where appropriate, to estimate, plan, perform, or document a project. Please avoid including people, personal documents, valuables, or unrelated private information in photographs unless necessary.
  • Transaction information, such as invoices, amounts due, payment status, receipts, transaction references, and records needed for accounting, tax, warranty, dispute, and legal purposes. Payment card details and bank credentials entered into a third-party processor’s platform are generally handled by that provider, not requested by us through ordinary text or email.
  • Communications, including inquiries, emails, text messages, appointment records, requests, complaints, and opt-in or opt-out records.
  • Technical information, such as limited website, device, log, or usage information collected by our website host or service providers, if applicable. The information collected depends on the tools actually used on our website.

We aim to collect information that is adequate, relevant, and reasonably necessary for the purposes described in this Policy. We do not ask customers to send full payment-card numbers, card security codes, online banking passwords, or bank account credentials through ordinary text message or email.

3. How We Use Information

  • Prepare estimates, proposals, orders, and project agreements.
  • Schedule, provide, and manage flooring products and installation services.
  • Communicate about appointments, materials, site readiness, project progress, invoices, payments, receipts, warranties, and customer questions.
  • Process or reconcile payments and maintain accounting, tax, business, warranty, and legal records.
  • Investigate and resolve complaints, disputes, suspected fraud, security issues, and service problems.
  • Maintain, secure, and improve our business systems and customer service, where appropriate.
  • Comply with applicable law, enforce agreements, and establish, exercise, or defend legal claims.

We will not use personal information for a materially different purpose that is incompatible with the purpose disclosed at collection unless we provide any notice or obtain any consent required by applicable law.

4. Text Messages, Calls, and Marketing

If you provide a telephone number, we may use it to communicate about a request or transaction, subject to applicable law and any consent required for the communication method used. Service-related messages may include appointment confirmations and reminders, installation scheduling and updates, estimates, invoices, payment links, payment reminders, receipts, and responses to your inquiries.

Message frequency varies with project activity. Message and data rates may apply. Where supported, you may reply STOP to a text message to opt out of that messaging program and HELP for assistance. You may also contact us using the phone number or email above to request that messages stop. We will process revocation requests as required by applicable law and our messaging provider’s procedures. We may send a non-promotional confirmation of an opt-out where permitted.

We do not treat providing a telephone number for a project as consent to promotional marketing messages where separate consent is required. Promotional texts or calls will be sent only where we have obtained the consent and provided the disclosures required by applicable law. We maintain records of consent and opt-out requests as appropriate.

Opting out of texts does not cancel a project, erase an outstanding balance, or prevent lawful communications by other means concerning an existing transaction.

5. How We Share Information

We may disclose relevant information in the following circumstances, limited to what is reasonably necessary for the purpose:

  • Service providers that help us with payment processing, messaging, scheduling, accounting, customer management, website hosting, technical support, security, storage, or other business operations.
  • Professional advisers, such as attorneys, accountants, and insurers, when reasonably necessary for professional services, risk management, or business administration.
  • Government authorities, regulators, courts, law enforcement, or other parties when required by law, legal process, or when reasonably necessary to protect rights, safety, property, or to establish, exercise, or defend legal claims.
  • Another party in connection with a business reorganization or transfer, if applicable, subject to appropriate safeguards and applicable law.
  • Other recipients with your direction or consent, or as otherwise permitted by applicable law.

Where appropriate, we use contractual or other safeguards intended to require service providers to protect information and use it only for authorized services. We do not authorize service providers to use information obtained on our behalf for their own independent marketing purposes, unless separately disclosed and permitted by law.

We do not sell customer personal information for third-party marketing purposes. We do not knowingly disclose mobile telephone numbers, text-message opt-in data, or consent records to third parties or affiliates for their own promotional or marketing purposes. This statement does not prohibit disclosures to providers that process such information on our behalf to deliver messages or operate our business, subject to applicable restrictions.

6. Payments and Third-Party Services

Payments may be handled by a third-party payment processor. When you enter information on that provider’s website or application, the provider’s own terms, privacy notice, and security practices may apply. We may receive transaction confirmations, payment status, receipts, transaction identifiers, and other information needed to reconcile payments and maintain records.

Our website, payment links, messaging systems, and business operations may use third-party services. The privacy practices of those providers apply to their own platforms and may differ from ours. We encourage you to review their notices before submitting information directly to them.

7. Cookies, Analytics, and Website Technologies

Our website may collect limited technical information through server logs, cookies, analytics, or similar technologies if those tools are enabled. These tools may help operate, secure, and understand use of the website. If applicable law gives you a right to opt out of targeted advertising, sale of personal data, or certain profiling, we will provide the required disclosure and method to exercise that right.

8. Data Security

We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, or destruction. Safeguards should be appropriate to the nature and volume of information and may include access restrictions, authentication controls, secure devices and systems, staff training, backups, vendor oversight, and secure disposal.

No method of storage or transmission is completely secure. We cannot guarantee absolute security. The Company should maintain written security procedures and an incident-response plan and should promptly investigate suspected unauthorized access or disclosure. We will provide notifications required by applicable law.

9. Retention and Disposal

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including providing services, maintaining accounting and tax records, administering warranties, resolving disputes, meeting legal obligations, and protecting legitimate business interests. Retention periods vary by record type and circumstances. When information is no longer required, we take reasonable steps to securely delete, destroy, or de-identify it, subject to legal retention requirements, dispute holds, and backup-system limitations. Our normal retention period for projects, which may include personal information, is not longer than three years followed by disposal of records.

10. Your Choices and Privacy Rights

You may contact us to correct inaccurate contact information, update communication preferences, opt out of text messages, or ask questions about how we handle information. Depending on applicable law and whether the Company is subject to the relevant law, you may have additional rights to access, confirm, correct, delete, obtain a copy of, or opt out of certain processing of personal data.

To submit a request, contact us at thecarpetcoinc@gmail.com or 540-752-5200 and state the request and the best way to reach you. We may take reasonable steps to verify your identity and authority before acting. We will respond within the time required by applicable law. We may deny or limit a request where an exception applies, such as where information must be retained to complete a transaction, comply with law, establish or defend legal claims, or maintain security. If a privacy law applicable to the Company provides a right to appeal a decision, you may request an appeal by replying to our decision or contacting us using the contact information above with the subject line “Privacy Request Appeal.” Appeals shall be decided by binding Arbitration between the parties through the American Arbitration Association.

11. Children’s Privacy

Our flooring products and services are generally marketed to adults and are not directed to children. We do not knowingly collect personal information from children in circumstances where such collection is prohibited by applicable law. If you believe a child has provided information to us improperly, contact us so for a review.

12. Changes to This Policy

We may update this Policy to reflect changes in our practices, service providers, or legal obligations. We will post the revised version with an updated effective or last-updated date. If a change requires notice or consent under applicable law, we will provide that notice or obtain consent as required. Posting a revised Policy does not by itself authorize a new use of previously collected information where additional consent is legally required.
